Job Description:
· Supporting the presentation preparation and the post-trade services to clients and other assigned tasks.
• Providing extensive daily administrative support to CEM/Markets Team (approx. 13 pax)
• Calendar management and associated tasks, i.e. Booking conference rooms, audio visual equipment, copies, preparing docs & scheduling meetings etc.
• Assist in planning and organizing marketing events
• Business travel arrangement for both team members and visitors in line with corporate travel policies, including processing the prior approval, booking airline tickets, car services, hotels, itineraries; preparing documents for business travel and expense claiming, etc.
• Processing of T&E and other expense claims
• Creating and maintaining team-related schedules and contact lists: vacation schedules, emergency contact lists, mail lists, telephone lists, Travel Request database, Leave database, etc.
• Assisting and /or leading the organization of events
• Logistics & arrangement of meetings for visitor(s); management meetings
• Providing general support including photocopying, booking meeting rooms, stationery re-ordering, filling, etc.
• Assisting in ad hoc project administration support when required
• Strong PC skills (proficient knowledge of MS Word, Excel, and PowerPoint)
• Exhibits increased proficiency in duties and expanded knowledge and application of software packages
• Knowledge of general office procedures (e.g., filing, correspondence, scheduling)
• Ability to adapt procedures, processes and techniques to the completion of assignments
• Effective interpersonal skills
• Superior oral and written communication skills
• Excellent telephone etiquette
• Advanced ability to organize
• Tact and good judgment in confidential situations and proven experience interacting with senior management
Qualifications:
· Finance or business academic background from top schools is preferred
· Strong math and computer skills are required.
· Highly motivated and productive team player
· Fluent in both spoken/written Mandarin and English.
· Quick/efficient/detailed/proactive/organized/clever
• Demonstrable experience of being able to achieve tight deadlines and multi-task.
